Full-Time | Remote | Reports to Senior Manager of Affiliate, Partnerships & Speaking Strategy
You're the strategic executor who turns high-level vision into flawless systems. You thrive in the space between strategy and delivery—taking a big idea, breaking it into tactical steps, building the infrastructure in Notion, scheduling the emails, coordinating the logistics, and ensuring nothing falls through the cracks. You're equally comfortable building backend systems and representing the brand in client-facing moments—whether that's networking at events, supporting sales calls, or making affiliates and partners feel valued and seen. You're not just a taskmaster; you're a Swiss Army knife operator who can manage affiliate launches, coordinate events, triage DMs, build landing pages, and step into any gap the team needs filled. You blend executive assistant-level polish with operations coordinator-level systemization, and you do it all without needing your hand held.
Here’s how the job qualifications align with your profile.
Do you have experience in Workforce management?

The Uncommon Business is the world's fastest-growing AI-first education company, teaching business leaders to architect intelligent systems, not just prompt tools. We don't do busywork, legacy thinking, or 80-hour founder weeks. We build companies where AI handles the repeatable, humans drive the irreplaceable, and leaders scale without burning out. We're profitable, EOS-driven, and operate in championship-level surge cycles. You'll be promoted on impact and ownership—not tenure. High performers thrive here. Passengers don't last.
You might have:
Project-managed the annual team retreat by researching five venue options with pricing, sourcing the top five seed-oil-free local restaurants via Reddit, coordinating exclusive gym and sauna access for the team, and delivering a complete project plan with timeline, dependencies, and decision points for leadership approval
Built a tracking database for 100 high-priority affiliate prospects including contact info, outreach status, and follow-up dates, then drafted the full email sequence to invite them to the exclusive Virtual Affiliate Day with Callan in January
Coordinated all backend logistics for the Costa Rica Affiliate Day—finalized catering menu and payment, confirmed photographer and videographer contracts, created the attendee guide with travel details and dietary preferences, and built the master event SOP in Notion so it's replicable for future events
Triaged 47 incoming DMs and partnership inquiries from Callan's Instagram and LinkedIn, flagged 3 high-priority speaking opportunities for Chantelle same-day, routed 12 affiliate inquiries through proper intake, and professionally declined 32 low-fit requests with templated responses
Written and scheduled the spring launch affiliate email sequence across six weeks in Go High Level, tested all links, optimized send times, and reminded the network of the upcoming kickoff call—all based on Chantelle's strategic outline, executed independently
We value ownership over task lists. Here's where you'll lead:
Affiliate Launch Operations & Coordination Own flawless execution for two major launches annually (10-12 weeks each). Build master project calendars mapping every email, deadline, and deliverable. Compile affiliate promotional guides, schedule all nurture and launch emails in Go High Level, track sales and commission payouts in Rootabl, troubleshoot attribution issues, monitor leaderboards, manage prize fulfillment, and respond to affiliate questions within 2 hours. Chantelle handles strategy and high-touch relationships; you ensure the machine runs without a hitch.
Event Coordination & Project Management Lead logistics for team retreats, client events, and affiliate activations from concept to completion. Source venues, negotiate pricing, coordinate catering and travel, build attendee guides, manage vendor contracts and payments, and create detailed project plans with timelines and dependencies. Document every process in Notion so future events are plug-and-play. You're the person who thinks of the welcome notes on bathroom mirrors and ensures the photographer gets paid on time.
Partnership Pipeline & Inbox Management Monitor Callan's DMs and partnership inbox daily. Triage requests, flag high-priority speaking and collaboration opportunities to Chantelle same-day, respond professionally to low-fit inquiries using SOPs and templates. Build outreach tracking spreadsheets, send cold outreach and follow-ups from provided databases, track responses, flag hot leads, send contracts once deals close, and maintain an organized digital paper trail so nothing slips.
Systems Building & Notion Infrastructure Take Chantelle's strategic vision and build beautiful, functional systems in Notion that the entire team can reference and replicate. Create SOPs, tracking databases, project hubs, and process maps that turn chaos into clarity. You're proficient enough in Notion to independently structure information, link databases, and build scalable systems without needing tutorials or hand-holding.
Email Sequencing & CRM Tracking Draft and organize email sequences based on Chantelle's ideas—structuring welcome series, reminder emails, and nurture campaigns that are ready for the technical team to load into Go High Level. Navigate CRMs like Rootabl and Go High Level to track leads, pull performance reports, troubleshoot attribution issues (like matching orphaned sales to the right affiliates), and maintain clean data so nothing falls through the cracks.
Proactive Problem-Solving & Gap-Filling You spot problems before anyone asks—identifying workflow bottlenecks, flagging missing steps in processes, and proposing solutions without waiting for permission. You don't just execute tasks; you optimize them and suggest improvements that make systems more efficient. Step into operational gaps the team needs filled—whether that's marketing ops during transitions, live launch troubleshooting, vendor coordination, or cross-functional coverage. We value Swiss Army knife flexibility and "all other duties as assigned" mentality over rigid role boundaries.
We hire humans, not checklists, but success here requires:
You've operated in high-level, fast-paced environments where you supported executives, managed complex projects, or coordinated operations across multiple stakeholders. You understand the nuances of professional communication, can represent leadership externally, and know how to prioritize when everything feels urgent.
You're a project management natural who catches every detail before anyone else does. You love building timelines, spotting dependencies, and proactively flagging gaps. You don't need to be told to follow up—you're already three steps ahead, and you document everything so the team can see your thinking.
You're tech-savvy and figure things out independently. You’ve set up CRM automations, worked in tools like Go High Level or similar platforms, and aren't intimidated by learning new systems. If you don't know how to do something, you ask Perplexity, prompt Claude, or figure it out without needing hand-holding.
You thrive in surge cycles and know how to recover. Launch windows are intense—long hours, rapid troubleshooting, juggling 50 moving pieces—but you love the energy and find satisfaction in flawless execution. Between launches, you shift to maintenance mode, building systems and preparing infrastructure so the next surge is even smoother.
You communicate proactively and follow through relentlessly. You don't wait to be asked for updates—you flag issues early, keep leadership informed, and follow up until tasks are complete. You're comfortable being client- and student-facing, and you represent the brand with professionalism and warmth.
You own these key metrics:
Launch Execution Excellence: 90%+ on-time task completion during launch windows, zero missed email sends or broken affiliate links, sub-2-hour response time to affiliate questions during business hours.
Event Coordination Flawlessness: Vendor contracts signed and paid on time, all event logistics documented in replicable Notion SOPs, zero day-of surprises due to missed details.
Inbox & Partnership Pipeline Management: Incoming DMs/requests triaged within 24 business hours, high-priority opportunities flagged same-day, all outreach tracked with follow-up dates logged, contracts sent within 24 business hours of verbal close.
System Reliability & Documentation: All affiliate resources organized and accessible in Notion, email automations tested and functional, landing pages live and error-free, project plans updated and shared with stakeholders without prompting.
Our launch seasons are intentionally high-intensity and fast-paced to drive transformation for our clients and our team. Twice per year (10-12 weeks total), team members in launch-critical roles are expected to be available from 7 AM to 7 PM, with additional hours often required for preparation, execution, live event support, and post-launch debriefs.
This pace is not for everyone—and that's okay. We set this expectation clearly so that only those who thrive in high-accountability, high-impact environments choose to be here.
In return, you'll be part of a team that moves fast, solves real problems, and builds meaningful outcomes. You'll grow rapidly, work alongside exceptional talent, and contribute to work that truly matters. Outside launch seasons, workload is sustainable and strategic—focused on building the systems that make the next launch even stronger.
